Event terms and conditions

All bookings are subject to the terms and conditions set out below.

  1. Upon completion and submission of this booking form, Matrix Essential Training Alliance Ltd (META) will reserve a place for the named delegate. For events where a fee is payable, the named delegate agrees to ensure payment will be made in full to META no later than the invoice due date. Non-payment in advance of the conference date may result in the delegate not being able to access the conference.
  2. By submitting this form, you accept the following cancellation charges, which apply as soon as the booking is made.

    Cancellations made more than 4 weeks before the event incur a 50% cancellation charge.
    Cancellations made less than 4 weeks before the event incur 100% of the event charge.

    All cancellations must be made in writing. Replacement delegates may be nominated in writing at any time prior to the start of the event.
  3. Where an event is free of charge, cancellation charges for any hotel accommodation associated with the event may be incurred in accordance with the general cancellation policy.
  4. It is regretted that no refund will be made to those registrants who have booked a conference place but who are unable to attend on the day. However, substitutes may be made, provided that a name is sent in writing to the META prior to the conference.
  5. It may be necessary for reasons beyond the control of the META to alter the content and timing of the conference, the identity of the speaker, the date or the venue. If, for any reason, META needs to cancel the event, delegates will be notified in writing and events fees will be fully refunded (except in circumstances as set out in clause 8 below), but we will not be liable to you for any other costs or losses, whether direct or indirect.
  6. META gathers, holds and processes personal data in accordance with the requirements of the Data Protection Act 1998. Any personal data you supply will be used by the META for the purpose of managing and organising this event. Your details will be included in the delegate list for this event. Such data may also be released to third parties (such as service suppliers for organising conferences) where necessary for the above purposes. For further information see our website privacy policy.
  7. You will need to comply at all times with the rules and regulations imposed by the venue. You will also need to ensure that you have your own insurances against any loss to your property you may suffer, or any loss or damage you may cause at the conference.
  8. Should we be unable to perform any obligations under this Agreement due to causes or circumstances beyond its reasonable control, including any Act of God, war or threatened war, terrorism or threatened terrorism, fire, sudden adverse weather, flood, drought, strike, natural disaster or lock out or actions of the venue, we will not be liable to you for this.
  9. This agreement is subject to the laws of England and it is agreed that the courts of competent jurisdiction shall be the English Courts.

Environmental charge

META recognises that there is an impact on the environment when a conference is held, whether through travel to the event or the use of materials and resources. In acknowledgment, META has introduced a levy of £1 per day per delegate on conference bookings. The proceeds will be directed to educational environmental projects. The levy is not applied to events that are free of charge.

These terms and conditions apply at the time of booking.
